Small Crew Synergy: Adapting 'Cross-Departmental' Meetings?

Hey everyone,

I'm Marcus, a Director/Writer, currently prepping a short film. It’s a passion project, meaning a really tight budget and an even tighter crew, basically, everyone's wearing three hats minimum. We're talking DP pulling double duty as gaffer, me directing and also handling some sound design post-production, etc.

I've been trying to figure out how to best integrate that big studio concept of 'cross-departmental synergy meetings' into our workflow. You know, where everyone gets on the same page and anticipates needs. We've tried casual huddles, brief calls, and even a shared document, but it still feels like we're missing opportunities for early problem-solving. It's hard to make those conversations formal without losing the agility of a small team.

For those of you working on similar lean setups, how have you successfully adapted this idea of cross-departmental communication to fit your process?
